Business letters are an important part of any business. In fact, some businesses hire writers specifically to write business letters. However, some people forget the importance of the follow-up letter. After an important business call or business meeting, its proper to send a follow-up letter. Please note the word important. Dont send a follow-up letter after every business call or meeting. Only when something significant has been discussed or more information has been requested should you send a follow-up letter. In some cases, the follow-up letter may be more important to some businesses than others.


Small-business owners often deal with clients on a more personal level. The success of your small-business can depend as much on your likeability as it does on the quality of your services. You have to sell yourself before the prospect will want to do business with you. A follow-up letter can help achieve this. One basic letter can be tailored to fit various situations. The templates below can be used to compose your follow-up business letters.




Example One C Youve met with a prospect, but no work is assigned.


Dear Prospect:


Id like to thank you for your time and consideration in our meeting last Monday. I enjoyed meeting you and discussing possible assignments with (insert name of company or person here).


As a (insert your service), my goal is to enhance your business and make your life easier. I can provide you with professional (insert your service) of the best quality.


Note: Use this paragraph to remind the prospect of what you do, how good you are, and how they can benefit from your services. Elaborate on your skills.


I welcome the opportunity to contribute to your efforts and am confident that I will provide quality service. Thanks again, and I hope to work with you soon.


Sincerely,

(Your name)


Thats the basic letter. Now you can alter it for other situations C adding or removing information as needed.


Example Two C Youve met with a prospect and are about to start a project.


Dear Prospect:

Id like to thank you for your time and consideration in our meeting last Monday. I enjoyed meeting you and discussing my participation in your upcoming (insert project description).


As a (insert your service), my goal is to enhance your business and make your life easier. I can provide you with professional (insert your service) of the best quality.


I welcome the opportunity to work with you on this exciting project. I am confident that I can make a valuable contribution to this undertaking. Thanks again, and I look forward to our upcoming meeting on (date).


Sincerely,

(Your name)


Letters should also be sent following an important business phone conversation. The letters above will suffice, but the first paragraph should be edited to fit the situation.


Example Three C Youve spoken with a prospect on the phone, and they want more information.


Dear Prospect

It was a pleasure speaking with you today and discussing possible assignments with (insert name of company). Thanks for your time, and as promised, Ive included more information on my services.


Continue from here following the template. As you can see, its not difficult to write a follow-up letter. Just be sure to change each letter to fit your needs. If youre not comfortable sending cookie cutter letters, you can add more personalized touches to each letter. Have fun with it, but remain professional.
